Move your CRM without losing the next step.

A tool-neutral migration checklist covering exports, field mapping, consent, duplicates, integrations and a safe cutover for service businesses.

Decide whether switching solves the problem

Missed follow-up can come from missing owners and next-action dates, even in capable software. Document the gap first. Keep the current CRM if a better workflow can solve it at lower cost.

Export and map before importing

  1. Export contacts, companies, deals, notes, tasks and consent records using the current provider’s supported export.
  2. Keep a dated backup under your control; restrict access to customer information.
  3. Map old stages to new stages, preserving owner, next action, source and relevant opt-outs.
  4. Deduplicate a small sample. Do not merge different people just because their names match.
  5. Import a test batch and compare counts and sample records with the original.

Keep automation off during the test

An import must not unexpectedly send old follow-ups. Check consent, opt-outs, timezone, task dates and stop rules before enabling any sequence. Reconnect phones, calendars and forms only after account ownership and supported permissions are confirmed.

Cut over with a recovery path

Choose a quiet window, make the final export and account for changes since the test. Reconcile record counts, open deals, future tasks and opt-outs. Keep the old account accessible until exports and essential workflows have been checked, subject to its billing and retention terms.

Compare ownership and total cost

Ask about setup, recurring subscription, usage, support, export format and cancellation. Avoid claiming one platform is cheaper without comparing the same scope. Review Beyond CRM and current pricing; migration feasibility is confirmed before work begins.
