Small business software cost calculator

Add up what you pay each month for separate apps, then compare it with one suite. Every default price comes from the company’s own pricing page and is dated. Change any number to match your bills.

Prices checked Nov 5, 2026 · By Ethan Mason, founder of Beyond Wealth (Salt Lake City). We sell the Business Suite, so the comparison shows when separate apps win too.

Your apps

Plans for job apps, bookkeeping and CRMs change price with the number of users. Suite plans are sized by crew members on the jobs app.

Tick the jobs you pay an app for. “Keep with the suite” means you would still pay for that app if you switched, because the suite only partly covers it.

      How the calculator works

Separate apps per month is the sum of every ticked app. The Business Suite plan is picked from your team size: Starter covers up to 2 crew members on the jobs app, Growth up to 5 and Scale up to 15. “Suite plus kept apps” adds the suite plan to the apps you would keep anyway. The difference is the gap between the two totals, shown per month and per year.

Default prices follow your team size where the company publishes a price per number of users: Jobber Connect is $139 for 1 user, $199 for up to 5, $299 for up to 10 and $399 for up to 15, plus $29 for each extra user; QuickBooks Online is Simple Start at $38 for 1 user, Essentials at $85 for up to 3 and Plus at $140 for up to 5. Once you edit a price, it stays the way you typed it.

Two defaults are kept on purpose. The suite’s Money tab tracks expenses, mileage and profit by job but is not full accounting, so bookkeeping starts as an app you keep. The suite builds forms and one-page offers, not a full website, so the website starts as kept too. Untick “keep” if that’s not true for you.

      Questions

How much does small business software cost per month?

It depends on team size and which jobs you pay apps for. Using published list prices checked Nov 5, 2026, a 5-person service business with separate apps for jobs, bookkeeping, forms, e-signature, reviews and a website pays about $575 to $925 a month, mostly depending on the reviews and texting tool.

Where do the default prices come from?

Each company’s own pricing page, checked Nov 5, 2026, using monthly billing with no commitment where shown. Podium and Jotform did not show prices, so their figures are third-party estimates and are labeled. Every price is editable.

Is an all-in-one suite always cheaper?

No. A solo owner who only needs one or two apps can pay less with separate tools, and a suite that lacks a tool you need means you still buy that app. The calculator shows the result either way.

What does the calculator leave out?

Payment processing fees, texting and email usage, setup or onboarding fees, taxes and the time spent moving between apps. Those vary by business, so they are listed rather than guessed.

      Is anything I type saved?

No. The calculator runs in your browser. Nothing you enter is saved or sent.
