For landscaping and hardscape companies
Landscaping business software for estimates, installs and crews.
By Ethan Mason, founder of Beyond Wealth (Salt Lake City, Utah). Written from how the Business Suite works today, Nov 6, 2026. Where it falls short for this trade, we say so.
Short answer
The Business Suite takes a landscaping job from the first call to the final invoice: book the site visit, send a good, better, best estimate with a deposit, get the contract signed online, schedule the install crew, track materials and labor against the price, and bill the balance with the deposit already taken off. After the install, the same app runs the maintenance.
It costs $80, $197 or $341 a month depending on crew size, every tool included, no contract. It is not a design or 3D tool.
From the first call to the site visit.
Landscaping leads are worth a lot, and they go cold fast. The goal is to get them on your calendar while they still remember calling you.
- Missed-call text-back sends a text in seconds when you can’t pick up on a job site, and saves the caller as a contact. It runs on a Twilio phone number.
- A project request form on your website asks what you need to know: type of project, rough size, budget range, timeline, and a photo upload of the yard.
- Online booking for site visits. Customers pick an open time from your hours. Set a minimum notice and a travel buffer so you’re not double-booked across town. They get a reminder the day before and can move the visit themselves from their link.
- Instant reply: switch on the new-lead automation and every new lead gets a thank-you email while a call-back task lands on your list.
Estimates customers can say yes to.
Most homeowners don’t know what a patio or a new front bed should cost, so give them a choice. Each estimate can have one price or three options, good, better and best. For example: a paver patio; the same patio with a seat wall; or the patio, seat wall and low-voltage lighting.
- Build each option from line items with quantities, like square feet of pavers, yards of mulch, number of plants, hours of labor, with sales tax if you charge it.
- Ask for a deposit as a percentage or a set amount. The customer approves on their phone and pays the deposit through a PayPal link.
- Set an expiry date so old prices don’t come back to bite you when material costs move.
- If they go quiet, switch on quote follow-up and emails go out on day 2, 5 and 10, stopping the moment they reply or approve.
Put the scope in writing.
Big installs need more than an approved number. Turn the estimate into a contract, add your terms (scope, schedule, payment steps, what happens if you hit rock or roots), and send a private signing link. The customer types their name, agrees to sign electronically, and draws or types a signature. The app records the name, time and a fingerprint of the exact text they saw, locks the document, and gives you both the same signed copy.
It is a simple e-signature record, not legal advice. Have your own terms looked over once by someone who knows Utah contracting rules, then reuse them.
Schedule installs and crews.
An approved estimate becomes a job with the same line items. Assign up to 10 crew members to it, set the time, and it shows on each person’s phone with the address, an Open in Maps button, notes and a checklist, such as: utility locate (811) ticket confirmed, materials delivered, grade checked, final walk-through with the customer.
- Each job is a single day. A three-day install is three jobs, which also makes it easy to put different crew members on demo, base and finish days.
- If you put someone on two jobs at the same time, the schedule flags it.
- Give crew members a role, like install or maintenance, so you can see who does what.
- Crew members clock in and out on each job and can leave notes back to you from the site.
Materials, labor and profit by job.
Landscaping margins disappear in material runs and extra labor days. In the Money tab, log each expense, like pavers, base rock, plants, equipment rental and dump fees, with a photo of the receipt and the job it belongs to. Add an hourly cost for each crew member and the clocked time on the job is counted too. You see what each job brought in, what it cost and what was left, by job and by month, plus a mileage log and a tax-time spreadsheet export. Bookkeeping-lite, not tax advice.
The final invoice.
When the job is done, turn it into an invoice in one tap. If the customer paid a deposit on the estimate, it is already credited on the invoice. The invoice has a PayPal pay link and sends reminder emails if it goes past due. You can also send separate invoices for each stage of a long project.
After the install: maintenance and referrals.
A finished install is the best time to sell upkeep. Set up weekly or monthly maintenance as a repeating job with its own checklist, and bill it as a service plan that charges the customer through PayPal on its own. Spring and fall, send an email about cleanups to past customers who gave email permission. Switch on the paid-invoice automation and review and referral requests go out on their own after the final payment, so your best jobs bring the next ones. Mostly mowing? See lawn care software.
What it doesn’t do.
- No design, CAD or 3D drawings. Keep your design tool and attach the plan to your estimate notes or contract.
- No measuring from aerial photos and no material takeoffs.
- No supplier ordering or nursery price lists.
- No routing or GPS tracking of crews.
- Payments run through PayPal only, and two-way texting needs your own Twilio number.

Every tool is on every plan. Plans differ only by how many people use the crew jobs page and how much setup help you get. Prices come from our pricing page. No contract, cancel anytime. Not sure? Try everything for 3 days for $8 once; it never renews on its own.

Questions owners ask.
Can I offer good, better and best options on one estimate?
Yes. Each estimate can have one price or three options. The customer picks one and approves it online, and the approved option becomes the job.
Can I collect a deposit before I order materials?
Yes. Add a deposit as a percentage or a set amount to the estimate. The customer pays it through a PayPal link, and it is credited on the final invoice automatically.
Can customers sign the contract online?
Yes. Send a private signing link; the customer types their name and draws or types a signature. Both of you get the same locked, signed copy. It is a simple e-signature record, not legal advice.
How do I schedule a multi-day install?
Each job covers one day, so schedule one job per day of the install. That also lets you put different crew members on each day.
Can I track material costs for each job?
Yes. Log each expense with a receipt photo and link it to the job. Profit by job counts those expenses and the crew’s clocked hours at the hourly cost you set.
Is there a contract?
No. Plans are billed monthly, with no contract, cancel anytime from your account. You can try every tool for 3 days for $8 once.
Try it with real customers.
Every tool, 3 days, $8 once. It never renews on its own.
